Vive Hotel Terms & Conditions 

 

  1. Introduction 

These are the terms and conditions that apply when you reserve a room at Vive hotel Hastings using our website or any other booking engine.

You will be asked to confirm your acceptance of these terms and conditions when you make a reservation. 

We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you make a reservation. The terms and conditions applying to your reservation will be those in place on the date that you make your reservation. 

 

  1. Bookings 

Please be aware that Vive Hotel is having some room and bar building work done during normal working hours.

To make a reservation please follow the instructions on our website when booking directly.

You must be at least 18 years old to make a reservation. Those under 18 years old are not permitted to stay in Vive Hotel Hastings unless a parent or guardian is also staying.

Room prices are displayed on the Vive Hotel website. We offer a range of prices, which can change at any time depending on availability and demand.

All non-refundable and promotional reservations at Vive Hotel require full pre-payment at the time of booking. However, bookings made at these rates cannot be refunded for any reason with no acceptions. There may be additional terms and conditions specific to each promotional offer and these are clearly shown in the booking process.

On a rare occasion we may be required to cancel your booking. In such circumstances, you will be given a full refund, but we shall have no further liability to you arising out of such.

 

  1. Cancellation & Amendment Policy

In case of a need for a cancellation or any change to your booking, Vive Hotel  requires the guests to inform the hotel personnel at least 48 hours prior to their booking (3pm check in time).

Vive Hotel reserves the right to charge 100% of the room rate if the cancellation is done in less than 48 hours' notice prior to their booking.

We also hold the right to cancel a booking up to 48 hours in advance due to overbooking and/or unexpected circumstances and we will issue you a full refund.



  1. No shows and cancellations

If you do not check in on the planned day of arrival (or cancel without the appropriate notice), we reserve the right to cancel any remaining nights on the booking, unless you request otherwise.

 

  1. Payment (including extras at the hotel)

Guests must present the payment card that was used to pay for the booking upon check-in, for security purposes. 

Please note that upon arrival at the hotel, we will request your credit/debit card details for full  payment of accommodation.  If you refuse to provide valid card details, we can refuse to check you in. We reserve the right to charge the card for any charges or extras that are incurred in accordance with these terms and conditions.

We do not accept cash for room payments as we are a cashless property.

 

  1. Check-in and Check-out times

At Vive Hotel , we guarantee a check in time from 3.00pm on the day of scheduled arrival and we ask that you check out by 11.00am on the day of departure. 

While you are welcome to request an early check-in, unfortunately, we cannot guarantee this as your room may not be ready.

You are also welcome to request a late check-out. If we can accommodate the request an additional charge of £15 per hour will be applied, with the latest check out being 2pm.

 

  1. Occupancy

The maximum room occupancy is two adults unless stated otherwise during your booking process. Family rooms where available can accommodate two adults 18 years and over and two children under the age of 16 years, additional charges may apply per child.

Children aged 16 or 17 years will be permitted to stay in separate room(s) under the responsibility of the parent or guardian and the parent or guardian must also stay in the hotel at all times the children are within the hotel. 

 

  1. Breakfast / Brunch

Our rooms are a room rate only offer, unless breakfast is specified as part of a special offer.

 

  1. Lost Property

We understand that from time to time guests will leave items in the room. We will contact you if any items are found once you have departed. 

We will always try to arrange for these items to be sent back to you. As it happens quite often we charge £10 for doing this to cover time and postage costs. We reserve the right to charge more should the cost to us be higher. 

 

  1. Rooms amenities

You will find some wonderful design inspired accessories and amenities in your room for your use and enjoyment during your stay at Vive Hotel. These items are not for sale - should you take / damage anything you will be charged a replacement cost. 

Replacement Costs may vary. We hold the right to charge up to £200 depending on the item damaged or missing in the room.

 

  1. Servicing Rooms

Our housekeeping team will refresh your room daily, providing you have requested this complimentary service upon your check in at Vive Hotel. If this service has not been requested we will not provide a refreshment service. 

In compliance with our passion to deliver as low as possible carbon footprint  we will not change bed linen or towels during your stay unless you are staying for more than 3 days. If this needs changing for unexpected circumstances, we will help out. We cannot service rooms after 2.00pm, so please enable access and advise us before 2.00pm or we will not be able to refresh your room.

Should your room be damaged or has been left in an unacceptable condition, an extra cleaning, minimum charge of £50.00 occurs.

 

  1. Smoking

Consistent with British Legislation, it is illegal to smoke inside the building at Vive Hotel . Please do not smoke anything (including normal and electronic cigarettes) either inside the hotel public areas or in the bedrooms.

Anyone found smoking will immediately be fined £200.00 and management reserves the right to terminate their stay.

 

  1. Outside guests in bedrooms

Only registered guests are permitted to stay overnight in the rooms. Visitors to hotel rooms will only be permitted at the discretion of management.

 

  14.Your data and privacy

Vive Hotel takes your privacy rights very seriously and we strictly follow the current UK GDPR

law and regulations 

 

  1. Suggestions, comments, compliments or complaints

  1. Guest behaviour

Guests are requested to conduct themselves appropriately at all times and to comply with Vive Hotel procedures and/or requests with regard to conduct and respect for the property of the hotel, its employees and guests, and their health and safety. 

Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the hotel, or cause offence to other guests or members of staff. 

We reserve the right to refuse accommodation, services or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

Please remember to treat our members of staff with respect and care, we ask that you respect their privacy and do not take pictures of any members of staff unless permission has been granted. 

  17. Your Obligations

When staying at our hotel, you agree to comply with all licensing, health and safety, hygiene and all other applicable regulations. You also warrant that you will not cause damage to the premises. Vive Hotel reserves the right to charge you the amount of any damage caused to our premises, as well as the cost of any items taken from our premises.

 

  18.Limitation of liability

To the fullest extent permissible under applicable law, we disclaim any and all warranties of any kind, whether express or implied, in relation to the services we offer you. This does not affect your statutory rights as a consumer under the Consumer Rights Act 2015 or your cancellation rights under these terms. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a result of our breaking these terms or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is out of our control or not on our property. Loss or damage, if it is an obvious issue or staff are notified with adequate time, we will do our part in accommodating. We hold the right to refund guests if we as a hotel feel that it is necassary due to our lack of care. Nothing in these terms shall exclude or limit our liability for death or personal injury caused by our negligence or the negligence of our employees or agents.
